Administrative Support (full-time, 12-month contract)

Montessori Academy of London (MA) seeks an experienced, meticulous and resourceful Administrative Support with at least 3-5 years of experience in clerical and administrative duties to cover a 12-month maternity leave. The successful candidate is responsible for the Academy’s administrative and office support activities for multiple supervisors, supporting all areas of MA’s administration. Duties include fielding telephone calls, receiving and directing visitors, word processing, filing, and faxing. Extensive computer skills are required, as well as strong communication skills. It’s a challenging and rewarding position supporting an outstanding not-for-profit organization.

Responsibilities

  • Provides general administrative assistance to faculty and staff such as word processing, documentation, copying, printing, distribution, filing, data entry, in-coming and out-going mail and courier, interoffice mail, and processing correspondence of various types.
  • Assists Registrar and Admissions in maintaining student enrolment information and records using the Blackbaud database system.
  • Understands and promotes the Academy’s vision, mission, and goals to students, parents, and community.
  • Handles special administrative projects, as well as overflow work from all administrative and executive assistants.
  • Ensures completion of paperwork, sign-in and security procedures.
  • Organizes all printing and distribution of communications to families during the year and a large mailing during the summer.
  • Contacts vendors and couriers, and coordinates repairs of clerical office equipment.
  • Maintains inventory and ordering duties of first aid supplies, gym wear, spirit wear, office supplies and various subscriptions held by the Academy.
  • Takes the lead of varying projects and responsibilities throughout the school year.
  • Collects various monies for multiple events and sales.
  • Handles petty cash and office deposits.
  • Carries out other responsibilities as required by the Executive Director.
  • Occasionally oversees and attends to administrative needs outside typical office hours.

Qualifications

  • Self-motivated, organized, able to multi-task and prioritize jobs to meet deadlines.
  • Open-minded and willing to try different skill-sets for the good of the students and the school team. Critical and independent thinker; collaborative team worker; problem solver.
  • Exceptional communication skills, both written and verbal.
  • Ability to remain calm and courteous under pressure and in the midst of the busyness.
  • Strong attention to detail.
  • Proficient computer skills: Microsoft Office, PC formatted computers, web research skills. Working knowledge of Blackbaud (Education Edge/Raiser’s Edge) is an asset.
  • A current Police Vulnerable Sector Check is required as a condition of employment.
